CHARITY PROGRAM SUMMARY
The 2012 San Francisco Marathon Charity Program (“TSFMCP”) offers a unique fundraising platform for non-profit organizations to connect with philanthropic runners. The TSFMCP provides charitable organizations access to runners who can raise money for their cause, and an opportunity to gain exposure for their causes through The San Francisco Marathon Events.
Charities can create charity teams by recruiting runners through their network and/or The San Francisco Marathon running community. Each charity is listed on www.thesfmarathon.com in an effort to encourage runners to join a charity team and be part of the community of giving at TSFM. Charity listing will include a pop-out window in which the participating charity can list its program details, incentives, and contact information.
REQUIREMENTS
Charities must apply to become an official charity in TSFMCP.
It is in the sole discretion of the TSFMCP to determine the selection criteria and ultimate number of charities chosen for TSFMCP. Charity is responsible for overseeing its own charity campaign, and the total amount of money raised relates directly to the efforts of Charity.
TSFMCP requires the following in order for charities to be accepted into TSFMCP:
• Provide proof of 501(c) 3 tax exempt status
• Submit Charity mission statement
• Submit application and Charity campaign plan
• Agree to pay related fees
• Agree to provide Charity logos
• Agree to promote TSFM and TSFMCP
• Agree to follow all Rules and Regulations of TSFM, TSFMCP
• Agree to fundraise on Crowdrise.com (some exceptions granted)
• Sign the Commitment Statement
Application: Charity must submit official application including an outline of marketing plan. Download Application
501 (c) 3 Status: Charity must provide proof of its 501(c)3 status. Please fax or mail a copy of this information along with the completed application.
Charity Mission Statement Submission: Charity must submit a 250 word statement detailing Charity’s mission statement for marketing purposes.
Charity Campaign Description: Charity must submit a detailed description of all services, benefits, requirements, and fundraising support provided to runners.
Fees: To cover TSFMCP overhead costs, charities must agree to pay ten percent (10%) percent of all proceeds raised on to TSFM.
Charity Promotion: Charity must commit substantial time and resources in order to raise a significant amount of money through TSFMCP. Recruiting runners to fundraise for Charity is primarily the responsibility of Charity and Charity should create a marketing plan for engaging their network of supporters and reaching out to the community. In order to secure the best results, Charity is required to develop and submit a comprehensive marketing plan to TSFMCP to effectively promote their campaign and Charity to prospective marathoners. Charity must supply two of each: Digital File (EPS vector file e.g. Adobe Illustrator), Black & White Logo Slick (if available), Four-Color Logo Slick (if available).
Event Promotion: Charity must agree to promote TSFM, the Event and TSFMCP on their website and in collateral using the full name and official logo with registered mark as provided. Charities will be required to keep a page dedicated to the TSFMCP on their site, outlining their involvement with the TSFMCP and Crowdrise. When referring to TSFM in print and other materials, Charities must always use the official name of the Event: The San Francisco Marathon. Charity may use the designation that they are an Official Charity of The San Francisco Marathon, the official logo and Event name in their recruiting, fundraising, and marketing campaigns. Charity must cease using the Event logo(s), Event name and official Charity designation two weeks after the Event. Charities wishing to use TSFM logo or Event name for any other use than listed herein must submit any item containing the logo/name to the TSFMCP for written approval prior to use.
TSFMCP Deadlines: Applications are due no later than April 1, 2012.
Race Entry Purchasing: Charity is welcome to purchase race entries at cost for their runners. A select # of entries will be available for purchase to official charities after the race sells out. If you are interested in this option please indicate in your application.
Fundraising through Crowdrise: This year, TSFM has again partnered with Crowdrise to create a unified platform that makes fundraising easy and fun. Participating Charities are encouraged to fundraise through Crowdrise and set up a personalized Charity web page on Crowdrise.com. Crowdrise is a fundraising platform designed to help volunteers and fundraisers answer the call to service, raise money for charity, and have the most fun in the world while doing it! For more information on Crowdrise please visit Crowdrise.com. Donations are sent to the address that the charity has on file with GuideStar. If direct deposit is preferred, Crowdrise can send Charity the link to get that set up. Charities will be responsible for taxes based on their net income or gross receipts.
Rules and Regulations: All Charities and Charity runners must follow Event Rules & Guidelines and all TSFMCP and Crowdrise regulations and deadlines as set forth herein and listed on thesfmarathon.com and Crowdrise.com. As an official TSFMCP Charity, Charity must ensure that its members are aware of all rules and regulations at the point of registration and prior to their race day participation. Bib Numbers are non- refundable, non-transferable and may not be deferred or donated. Bib Numbers and timing chips MUST be worn only by the runner to whom they were assigned.
Commitment Statement: The Charity’s Executive Director and the staff member responsible for managing Charity’s involvement in TSFMCP must sign the commitment statement before being considered as a Charity in the TSFMCP. The Commitment Statement is attached to the PDF Application and must be submitted with the Application.
